2002 revised requirements

The National Archives updated the functional requirements for electronic records management systems (ERMS) in collaboration with the central government records management community during 2002. The revision takes account of developments in cross-government and international standards since 1999.

There are six documents, which should be read together for complete comprehension as there are important interdependencies:

  • 2: Metadata standardPDF document, opens in a new window (279.524kb) Sets out the implications for records managment metadata in compliant systems. It has been agreed with the Office of the e-Envoy that this document will form the basis for an XML scheme to support the exchange of records metadata and promote interoperability between ERMS and other systems
  • 3: Reference documentPDF document, opens in a new window (219.6kb) (To be revised 2006) Explains the basic concepts, including entities, glossary, access control model, requirements and metadata mapping
  • Revised Reference Document document, opens in a new window (1433.917kb)

Following the closure of the ERM Systems Evaluation Programme in late 2006, the decision was taken to review and revise the Reference Document to enhance and improve this definitive guide for the Functional Requirements 2002 and its accompanying Metadata Standard

  • Optional module B.4: Case management and workflowPDF document, opens in a new window (108.22kb) This optional module was produced in January 2005 to list the requirements for an electronic records management system that handles casework. This module does not form any part of any evaluation programme
