Guidance for partners
The National Archives is regularly approached by other organisations to be a partner in projects that they are leading, and for which they are seeking external funding. We are pleased to receive these, and are very keen to work in partnership to develop and deliver good quality projects. However like most institutions, we have a finite capacity. To determine whether the project (and its bid) is one that we are able to support and commit resources to, we need to understand more about your proposed project.
Please describe:
- The aims and objectives of your project, or the research question posed
- What you expect The National Archives to do or contribute
- Whether there is a cost implication for The National Archives; whether we will be reimbursed in full for costs incurred, or whether we are effectively being asked to subsidise the project
- How much time our staff will need to devote to the project, either in directly working on the project, or in attending liaison meetings
- What benefits The National Archives could gain from being a partner in the project. These could be 'direct' (for example, improving the service we offer to the public or enhancements to our Catalogue) or 'indirect' (such as reputational benefits). You should also state how our involvement with the project could further the delivery of the Vision, or contribute to our research themes
How we assess proposals
To submit an idea for a potential partnership with The National Archives, you should complete an outline project proposal and send it to us. Our External Funding Panel, which meets monthly, will assess it to see if it will be possible for us act as a partner. We will then let you know in principle whether The National Archives is able to support your application.

You should submit your project proposal forms to us at least four months in advance of any application deadline. However if there is a sudden announcement of a funding round we may waive the four months notice. If The National Archives is able to act as a partner, the final bid will need to be signed off formally by one of our directors to signify our agreement to its content.
Outline Project Proposal
Please either download and complete the attached proposal form, or prepare a submission that contains all of the following information:
- Name of project
- Project lead at your organisation and named contact at The National Archives (if established)
- A brief description of your project, including its aims, objectives, methodology and proposed outputs and outcomes
- Your description of The National Archives' role in this project
- Any other partners to be involved, their role, and current state of commitment (and any previous joint working)
- Indicative budget for the project, identifying its different elements
- Proposed timetable for the project, setting out key milestones, including clear start and finish dates
- Clear exit strategy
- Proposed funding source/programme and any relevant deadline (if known)
- How the project links with The National Archives' Vision and/or research themes
Your outline proposal should not exceed three sides of A4.
